About the client

Round Wood is a manufacturer of wooden products and accessories that combines craft production with its own e-shop. It sells directly to end customers and in smaller B2B batches. Each product requires individual production preparation — wood selection, machining, sanding, surface finishing — and therefore precise coordination between the e-shop, production, and dispatch.

The challenge

Production at Round Wood ran on paper — and that brought daily problems:

  • E-shop orders were printed and physically handed over to production staff
  • Product information was written manually on paper notes
  • Tracking order status was unclear and time-consuming
  • Communication between the e-shop, production, and dispatch was error-prone

The solution

Implementing Modulario brought automation and full transparency to the entire production flow, built on 3 user types + an external customer and a 5-state order workflow:

User types

  • Administrator — full control, sees all orders in all states, can manually change statuses and details, edit products, quantities and the carrier, generate reports (orders by state, department efficiency, on-time vs delayed orders)
  • General production user — sees only orders in the states “ready for production” and “in production”, uses a touchscreen in shared spaces (e.g. a small kitchen) with large buttons for individual departments, prints labels suitable for wood (not painter’s tape)
  • General packaging user — sees only orders in the “in production” state, after scanning the QR code on the order sheet the detail is displayed, picks the shipping carrier, adjusts package weight, prints shipping labels
  • External customer — limited access, sees only their own orders that they created themselves (replacing the original Excel-based entry), can edit them until the administrator processes them

Order lifecycle

  1. Creation — from the e-shop (automatic synchronization into Modulario) or manually by an external customer
  2. Review and approval by the administrator — editing details, approval → “Ready for production”
  3. Production — the production user clicks on their department, the order is marked “In production” for them (for other departments it remains “Ready for production” — each department can take it independently)
  4. Packaging — QR code scanning, printing of shipping labels → “Ready for dispatch”
  5. Shipping — handover via GLS or TopTrans depending on package size and customer type

Key features

  • Direct e-shop integration — orders are pulled in via an automated event, statuses are synchronized automatically
  • Products table + Pricelist — external client + Cash-on-delivery bank accounts — separate data structures for B2B external clients
  • Assignment of an order to multiple departments simultaneously, each working on its part independently
  • Reporting — number of orders in each state, department efficiency, orders completed on time vs delayed, daily/weekly/monthly overviews
