Modulario vs. Excel: when a spreadsheet stops being a solution

Excel is irreplaceable for ad-hoc analyses and individual work. But in a company where 3+ people edit the same list, it breaks down — wrong versions, broken formulas, no audit log and a GDPR nightmare. Modulario takes over the company processes and leaves Excel where it shines.

Modulario vs. Excel

Input validation Backend validations, cannot be bypassed Data validation, bypassed by copy-paste

Kedy zvoliť Modulario

  • Your company has 3+ people editing the same data, and version conflicts arise
  • You need an audit log — who, when and what changed — for inspections or GDPR
  • You want role-based permissions — so a salesperson does not see payroll and an accountant does not see commission tables
  • You work with personal data and need secure storage instead of local .xlsx files
  • You want access to company data from a phone, without Dropbox chaos

Kedy zostať pri Excel

  • You are doing an ad-hoc analysis for a one-off decision — Excel remains king there
  • You need extreme flexibility of formulas and pivot tables for personal work
  • You have no structured process and are simply collecting data whose definition changes weekly

Ako prejsť z Excel

  1. 1

Audit of Excel files and processes

We go through the main company .xlsx files — who uses them, what decisions rely on them, which formulas are critical. We separate ad-hoc analyses from operational tables.

  2. 2

    Module design in Modulario

For each operational table we pick or configure a module — contract registry, CRM, warehouse, attendance, invoicing. Ad-hoc analyses stay in Excel.

  3. 3

    Data import from Excel

We sort, validate and import data via CSV. We remove duplicates, unify date formats and company IDs. Critical formulas are translated into Modulario Equations.

  4. 4

Training and the first parallel week

The team takes a 1-2 hour training. The first week runs in Modulario, with Excel as a backup. Colleagues immediately see the difference — no more 'who has the latest version'.

  5. 5

    Closing of Excel files

The original .xlsx files are moved to a read-only archive. Modulario becomes the source of truth. Excel stays for analyses you have yet to discover.

Frequently asked questions

We have used Excel for years and everything works. Why change?

If it really works and the team is small, you do not have to. Typical signs that Excel is no longer enough: bad file versions, sporadic data overwrites, lack of audit during GDPR incidents, VLOOKUP errors in critical calculations, management reports that take a day to compile.

Will we lose Excel's flexibility?

You are not giving up Excel's flexibility for individual work. You keep using Excel for analyses. Modulario takes over company processes with structure and control. You can export data from Modulario into Excel any time for ad-hoc analysis.

How does the cost compare to 'free' Excel?

Excel is not free — you pay for it in hours of fixing duplicates, in bad decisions on stale data, and in the risk of a GDPR fine. Modulario starts at EUR 12/user/month and the typical payback is 3-6 months through saved time on administrative tasks.

How long does the migration from Excel take?

For a company of up to 20 people, typically 2-6 weeks depending on the number of processes. Individual modules (e.g. only invoicing) can be deployed in a week. A complete company migration including CRM, warehouse and HR fits in a 1-3 month horizon.

Do we have to train all employees?

No. Modulario has familiar list-and-detail logic. Most users handle common operations within 1-2 hours. Managers and key users go through a more detailed training (half a day) on advanced features such as reports and automations.

Can we use Excel alongside Modulario?

Yes, and we recommend it. Modulario has strong export to Excel and import back. Use Excel for analyses, presentations and one-off calculations. Use Modulario as the single source of truth for operational data — customers, invoices, warehouse, attendance.
