How the System Works

Hardware at the Entrance

A tablet or camera (iPad on a stand or an industrial camera) is installed at the entrance or workshop. The device connects to Modulario over WiFi.

Enrollment (One-Time Registration)

The employee takes a few photos during initial setup — 3–5 shots from different angles and in different lighting. AI creates a biometric hash (a mathematical pattern, not a photograph). Takes 2 minutes.

Daily Check-In

07:43 — Michael Kovac walks through the entrance
  → Camera scans face (0.8 seconds)
  → Match: 98.4% (threshold: 92%)
  → Attendance logged: arrival 07:43

16:18 — Michael Kovac walks through the exit
  → Attendance logged: departure 16:18
  → Today's hours: 8h 35 min (including 30 min lunch break)

Automatic Payroll Calculation

Logged attendance feeds directly into the payroll module. Overtime is automatically identified and allowances are calculated in line with applicable legislation.

Security and Privacy

  • No photographs — only a mathematical hash is stored (656 numbers)
  • Local processing — recognition happens on the device, not in the cloud
  • Right to erasure — employees can request deletion of their biometric data (GDPR Art. 17)
  • Audit trail — every check-in is recorded with a timestamp

Is biometric check-in compliant with GDPR?

Yes, when implemented correctly. GDPR requires explicit employee consent, a clear processing purpose, and data minimisation. Modulario stores only a mathematical face hash (not a photo), the purpose is attendance tracking, and data is not shared with third parties. The legal basis is consent or legitimate employer interest under GDPR Art. 9.

What if the camera fails to recognise an employee (darkness, mask, new hairstyle)?

Fallback methods are always available: PIN code, NFC card, or manual entry in the mobile app. The system logs failed recognitions and alerts the administrator if the failure rate is unusual.

Does this eliminate buddy punching (clocking in for a colleague)?

Yes — a face is a unique identifier tied to a specific employee. The system records every attempt to manually log attendance for an employee who should be checking in via the camera. Discrepancies are reported to HR.
