AI expiry alerts — never again expired stock or an invalid certificate

Modulario AI tracks expiries of warehouse products, employee certificates, contract validity, and technical inspections. Alerts arrive while there is still time to act.

Time saved: 4–8 hours / month + elimination of fines
Modules: Warehouse People (HR) Documents

AI expiry alerts: always before, never after

Expiries are a silent threat in every business. Expired stock in the warehouse, an employee with a lapsed safety training on a construction site, a vehicle with an overdue inspection — each of these scenarios carries concrete financial and legal consequences.

What Modulario AI monitors

Warehouse goods

  • Food and beverages — batch and serial number expiries
  • Cosmetics and pharmaceuticals — shelf life, stability tests
  • Chemical products — certificate of conformity expiries, SDS documents
  • Technical goods — warranty periods, calibrations

System: expiry is recorded when stock is received. AI monitors and alerts X days in advance (configurable). When issuing from the warehouse it always recommends stock with the nearest expiry first (FEFO logic).

Employee certificates

  • Medical fitness (occupational health examination)
  • Safety training (type, completion date, validity)
  • Welding, electrical, and driving licences
  • Permits for working at height, with pressure vessels, etc.

System: the HR manager receives a notification 30 (or X) days before expiry. An employee cannot be scheduled for work that requires a certificate they do not hold.

Contracts and documents

  • Leases (end date)
  • Insurance policies
  • Framework supplier agreements
  • Licences and software subscriptions

System: 60 days before a contract ends you receive an alert with a recommendation: renew / renegotiate / terminate.

Technical inspections

  • Vehicle roadworthiness and emissions inspections
  • Electrical installation reviews
  • Pressure tests
  • Measuring equipment calibrations

  • Expired stock in a food warehouse: 2–8 % of inventory value per year
  • Accident with a vehicle past its inspection: company liability, insurance claim
  • Lapsed insurance policy: uncovered incident

Frequently asked questions

Can I set different lead times for different expiry types?

Yes — food items can be flagged 7 days before expiry, safety certificates 60 days before, vehicle inspections 30 days before. Each type has its own configuration.

Does expiry tracking work at the batch/lot level?

Yes — the system tracks expiry at batch level. When issuing from the warehouse it recommends FEFO (First Expired, First Out) — ship the item with the nearest expiry first.

What happens if an employee's certificate expires and they are scheduled to work?

The system blocks the assignment of that employee to any role requiring the certificate and notifies the manager. The employee cannot be added to a shift plan without a valid certificate.
